HOSTED BUYER TERMS AND CONDITIONS
For TAKULANDILANI - MALAWI TOURISM EXPO 2025
Please carefully read these terms before submitting your expression of interest to be considered as a hosted buyer during the Malawi Tourism Expo scheduled for 24 – 26 April 2025.
1. INTRODUCTION
These Terms of Reference govern the agreement between the Malawi Ministry of Tourism, Private Bag 326, Lilongwe, Malawi, and the hosted buyer.
2. REGISTRATION AND CONFIRMATION
- To express interest in participating as a hosted buyer, you must respond to an invitation sent by the Malawi Ministry of Tourism or its marketing representatives.
- You are responsible for ensuring the accuracy of the information you submit, including your contact details and company profile.
- Submitting an expression of interest does not guarantee acceptance by the Malawi Ministry of Tourism (MOT) as a hosted buyer.
- Only a written confirmation from MOT and a signed agreement will guarantee participation as a hosted buyer for MITE 2025.
3. PARTICIPATION AT THE MALAWI TRAVEL EXPO EVENT
- Hosted buyers are expected to attend all scheduled activities during the event.
- Buyers are not allowed to modify familiarization trip itineraries.
- Any personal trips outside the set itinerary will be at the buyer's own expense.
- Attendance at a briefing session is mandatory.
- All published articles should be submitted in both hard copy (two copies) and PDF format to the Malawi Ministry of Tourism.
- MOT reserves the rights to all photographic images taken during the event.
- MOT should be tagged in all online postings.
- Buyers are required to complete an online expectation and satisfaction survey.
- Participation in speed dating sessions during the Business-to-Business days is required.
4. OTHER ISSUES
- MOT will be responsible for air transfers to and from the main airport hubs.
- Pre- and post-familiarization tours, including ground transfers, meals, and accommodation, will be covered by MOT.
- Visa costs are the responsibility of the buyer.
- Meals will include a full meal with a soft drink and bottled water. Alcoholic beverages are not covered.
- Additional services at the hotel not arranged by MOT will be at the buyer’s expense.
5. CANCELLATIONS
- Cancellations must be submitted in writing before March 17, 2025. Late cancellations will incur a surcharge of USD 100.
- If unable to attend, you may nominate a senior colleague from your organization. Changes must be communicated by March 20, 2025.
